What You Will Be Doing
- You will oversee the daily operations of the office, ensuring smooth and efficient administrative support for projects.
- You will manage and supervise office administrative staff, including training, scheduling, and performance evaluations.
- You will handle project documentation, including delivery notes, site records, and contractor logs.
- You will provide HR support functions such as timekeeping, worker records, permit tracking, and MOM matters.
- You will assist with accounting tasks including invoicing, petty cash handling, and purchase order tracking.
- You will maintain proper filing, data entry, and document control systems.
- You will liaise between the office, site teams, and suppliers to ensure smooth communication and coordination.
- You will resolve any administrative issues or concerns in a professional and timely manner.
- You will prepare daily, weekly, and monthly operational reports for senior management.
- You will ensure the office environment is clean, organized, and professional for both staff and visitors.
- You will coordinate with management to ensure office staffing needs and workloads are properly managed.
- You will visit job sites when needed to coordinate material delivery or assist with site-related administration.
Office Staff Management Responsibilities:
- You will supervise and lead the office administrative team, ensuring daily tasks and operations are completed efficiently.
- You will delegate responsibilities, set priorities, and monitor staff performance to meet deadlines and service standards.
- You will provide training and guidance to new and existing staff on administrative procedures and company policies.

What We Are Looking For
Education and Experience:
- Diploma or Certificate in Office Administration, Business, Construction Administration, or a related field.
- Minimum of 2 to 4 years of experience in office or site administration, preferably within the construction or engineering industry.
- At least 4 years of working experience in the related field is required for this position.
- Prior experience in handling project documentation, logistics coordination, or site support is an advantage.
Skills and Competencies:
- Good understanding of office operations in a construction setting (delivery notes, site records, contractor logs).
- Good knowledge of HR support functions (timekeeping, worker records, permit tracking, MOM matters).
- Familiar with accounting tasks such as invoicing, petty cash handling, and purchase order tracking.
- Proficient in Microsoft Office (Word, Excel, Outlook); experience with accounting or HR software is a plus.

- Good communication and coordination skills to liaise between office, site teams, and suppliers.
- Attention to detail and accuracy in handling records and reports.
